This Privacy Policy explains how Active Margin Group LLC, doing business as Collateral (“Collateral,” “we,” “us,” or “our”), collects, uses, and shares information when you visit our websites or use our certificate-of-insurance tracking, policy calendar, document management, referral, and related services (collectively, the “Services”).
Important: Collateral is not an insurance company, agency, licensed insurance producer, legal adviser, or compliance service. Our software helps organize information and may connect users who request assistance with independent licensed insurance professionals.

Information from invited users and other parties. A contractor or other business may provide your business contact information to request a certificate or invite you to Collateral. Insurance professionals, service providers, and users may also provide documents or information relevant to your account or a request.
Information derived from documents. We may use automated tools, including optical character recognition and artificial intelligence, to extract, classify, summarize, or organize information from documents. Automated results may be incomplete or inaccurate and should be reviewed by the user.
Information collected automatically. We may collect device and browser type, IP address, approximate location, pages or features used, links clicked, referring URL, timestamps, diagnostic data, and similar usage information.

3. How We Share Information
With users you interact with. Information and documents you submit in response to a certificate request may be shared with the requesting business and its authorized users. Information shared within an organization may be visible to other authorized users of that organization.
With licensed insurance professionals at your request. If you request a review, quote, second opinion, or other insurance assistance, we may share the contact, business, policy, and document information needed to respond with one or more independent licensed insurance professionals. They may contact you by phone, email, or text.
Business profile information. We use business profile information you choose to provide, such as your locations and your ranges of employees, vehicles, payroll, revenue, and insurance premiums, to tailor the guidance the Services show you, and we share it with independent licensed insurance professionals only when you request assistance as described above.
With service providers. We may share information with vendors that provide hosting, document processing, artificial intelligence, email, messaging, analytics, security, customer support, and other services on our behalf. They may use the information only to perform services for us, subject to their contractual obligations.
For legal and safety reasons. We may disclose information when required by law, legal process, or government request, or when reasonably necessary to protect rights, safety, property, users, or the public.
Business transfers. Information may be transferred in connection with a merger, financing, acquisition, reorganization, bankruptcy, or sale of some or all of our business or assets.
With your direction or consent. We may share information in other ways when you direct us to or give consent.
We do not rent or trade personal information. We do not share personal information with third parties for their own unrelated marketing. We may receive compensation from insurance partners when a user expressly requests assistance and is referred to a partner.
4. Cookies and Analytics
We and our service providers may use cookies, pixels, local storage, and similar technologies to operate the Services, remember preferences, analyze usage, prevent fraud, and measure marketing. These providers may include product analytics, website analytics, and advertising measurement services such as PostHog, Google Analytics, Meta Pixel, or LinkedIn Insight Tag. The tools actually used may change as the Services evolve.
Most browsers allow you to block or delete cookies. Blocking certain cookies may affect the functionality of the Services. You may also use industry opt-out tools offered by the Network Advertising Initiative and Digital Advertising Alliance.
5. Communications
You may opt out of marketing emails using the unsubscribe link in those emails or by contacting us. You may still receive transactional or service-related messages, such as certificate requests, reminders, security notices, or account communications. Recipients of automated certificate reminders may use the instructions in the message or contact us for assistance.
6. Your Rights and Choices
Subject to applicable law, you may request access to, correction of, or deletion of personal information we hold about you. You may also have rights to restrict or object to processing, obtain a portable copy, or appeal a decision. We may need to verify your identity and may retain information where required or permitted by law.
Residents of certain jurisdictions, including California, the European Economic Area, and the United Kingdom, may have additional rights. We do not discriminate against users for exercising applicable privacy rights.
7. Data Retention
We retain information for as long as reasonably necessary to provide the Services, maintain business and legal records, comply with legal obligations, resolve disputes, prevent fraud, and enforce agreements. Retention periods vary by the type of information and the context in which it was collected. When information is no longer needed, we may delete or anonymize it.
8. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information. No transmission or storage system is completely secure, and we cannot guarantee absolute security. You are responsible for safeguarding your credentials and promptly notifying us of suspected unauthorized access.

The Services may link to or integrate with third-party services. Their privacy practices are governed by their own policies, and we are not responsible for their practices.
